Overview of the Role:

We’re looking for an organized and proactive Project & Operations Coordinator to support our sales, marketing, and product teams. This role combines administrative support, CRM management, and project coordination to help us streamline operations and improve efficiency across our projects and departments.

Responsibilities:

Administrative Support

  • Send internal emails, coordinate calls, and schedule meetings across teams.
  • Prepare meeting agendas, take minutes, and track follow-up actions.
  • Keep an eye on deadlines and milestones to ensure project goals are on track.
  • Provide general office support and organization as needed.


Project Coordination

  • Collaborate with sales, marketing, and product teams to bring a bit more structure to processes, support project initiatives, and keep things on track.
  • Help manage CRM updates, ensuring data accuracy and resolving issues with the sales team.
  • Act as a bridge between sales and development teams (who use Jira) to keep communication smooth and project goals aligned.
  • Use task-tracking tools (Asana/Trello) to organize projects and monitor progress.


CRM & Data Management

  • Audit and maintain CRM system data (HubSpot & Bitrix), ensuring accuracy and flagging issues as needed.
  • Create, update, and analyze Excel reports for sales and project tracking, using advanced Excel skills for accurate insights.


Process Improvement & Reporting

  • Identify process gaps in sales, product, and marketing workflows and suggest improvements.
  • Generate regular reports on project status, leads generation, and other strategic metrics to keep everyone aligned.

Requirements:

  • Experience: 2+ years in a project coordination, operations, or administrative support role, ideally within a startup or fast-paced environment.
  • Fluency in English is a must; proficiency in Spanish and/or other languages is a plus.
  • Technical Skills:
    • Strong Excel skills, with experience in data analysis, formulas, and report generation.
    • Experience with CRM systems (HubSpot preferred), Asana/Trello, and Google Workspace.
